Move to CrateRWD

Bring your inventory, customers and completed hire records across from an export of your current software.

A smooth move, step by step

  1. Keep a backup of your current system and export your records as CSV.
  2. Start with customers, then inventory. Match your columns and preview the result.
  3. Check total stock against your old system. Record open hires separately before your team starts dispatching.

Imports add new records. Completed past hires go into a separate archive. Imports do not replace existing records or bring across live movements, photos, staff accounts or open hires. Keep your old system available until the balances agree.

Help preparing your export

Choose CSV in your current software. Keep customer names and delivery sites together. Inventory must contain total owned quantities; an availability report alone is not enough.

For completed hires, use one row per item, a stable order reference and a different line reference for each item in the same order. Keep the original source name when importing further files so duplicate references can be detected. Do not mark open hires as completed to get them through the import.

Files are limited to 200 rows and 128 KB per import. Split larger exports into batches with the same headers. Map columns yourself when a suggestion does not match. Convert dates to YYYY-MM-DD and categories to Crates, Pallets, Equipment, Containers or Other. Keep barcodes and IDs as text when editing a spreadsheet.

Official export instructions: Sortly · AssetSonar · Booqable. This is a CSV transfer; photos, files, staff logins and current bookings need their own migration plan.
